Frequently Asked Questions - Loeks Retreat Center Rentals

Thank you for considering Camp Blodgett for your event.  We want your event to be a memorable one and encourage your questions early in the rental process.  We have assembled some of the most frequently asked questions below.  These questions are often asked when planning a wedding and reception, fund raisers, or convention dinners.  If your question is not on the list or if you need clarification, please contact us at any time.
 
Things that are included with every Retreat Center rental:
  • Beach access.  Please respect the properties on each side of our frontage and keep all activities away from adjoining properties.
  • Use of the deck.
  • Use of the tables and chairs that we have available. Table inventory provided below.
  • Use of the kitchen and all appliances, flatware, water pitchers, etc. All items used must be cleaned and returned to the original storage place and ready for the next use.
  • After the event, Camp Blodgett staff will do the tear down of all tables and chairs.
  • A Camp Blodgett representative to assist with property/facility questions and assist with necessary building repairs and facility related emergencies.
 
Things that are the RENTER’S responsibilities:
  • Set up of tables and chairs for your event.
  • All table coverings, centerpieces. Additional rented tables and chairs, etc. are the Renter’s responsibility.
  • Installing and removing decorations are the Renter’s responsibility.  During installation of decorations you may NOT use fasteners that puncture surfaces (nails, tacks, pushpins, staples) or that otherwise damage the walls, rails, posts, ceiling beams floors, deck, etc.  If staff must remove any part of the decorations or repair any damage, the cost will be deducted from your security deposit for the event.
  • Retrieving ALL camp equipment from the deck or other outdoor areas of camp that has been moved from the place the renter found it.
  • Removing any trash that accumulated from your arrival time to our dumpster located at the roundabout halfway between the Loeks Retreat Center and the main parking lot. Use the North bin for trash. South bin is for CARDBOARD ONLY.
  • Ensuring the kitchen has been returned to a "rental ready" condition. This may include, wiping all surfaces, washing any Camp Blodgett dishes/utensils and returning them, sweeping and mopping the floors, and cleaning up any spills in the walk-in cooler.
  • Relocating ALL rented or personal equipment or accessories to a designated area for pickup at a later time.
 
How many guests can be seated comfortably? 
Our dining hall can seat up to 150 at round tables.  Some caterers recommend 144 or less to allow room for their servers.
 
Can we hold a wedding ceremony at Camp Blodgett? 
Yes. Many of our renters have held their ceremonies on our deck overlooking Lake Michigan.  Our deck will accommodate 150-seated guests and is handicapped accessible.  Weddings on the beach lend themselves to some logistical challenges for equipment and people attending, but we do not object if done in a manner that does not to disturb our neighbors or the natural landscape. *No vehicles are allowed on the beach.
 
I saw a tent in a picture.  Is that included? 
Camp Blodgett does not provide a tent.  A 20’x40’ tent (or smaller) may be set up on the deck.  Tents are available from rental companies in Grand Haven, Holland, and Grand Rapids. Please see our vendor list for companies that work with us regularly.
 
Does Camp Blodgett have an in-house catering team? 
No.  Our renters may use the caterer of their choice.  Camp Blodgett does REQUIRE that whoever you select must adhere to our policies and leave the kitchen in “as you found it” condition including leaving all kitchen supplies where they found them.  Camp Blodgett has a list of preferred caterers who have catered events and wish to return.
 
When should I reserve my date? 
Camp Blodgett is unable to host more than one event at a time within the Loeks Retreat Center. We suggest you reserve your date as soon as you are positive that Camp Blodgett is your venue choice.  All rentals are first come, first served. See rental calendar on our Rent Our Space page for available rental dates.
 
How do I reserve a date? 
We will “pencil” you in for a date on the day you request a rental agreement for a specific date.  We will hold that date for 2 weeks. If we do NOT receive a signed rental agreement with a deposit (30%) within that timeframe the date will once again be made available for rental. We will NOT contact you prior to renting to someone else after that deadline has passed.
 
Is my deposit refundable if I must cancel? 
All deposits are NONREFUNDABLE regardless of reason, when you cancel or if you cancel only part of your rental period.  With your signed agreement, we commit our facility to you in good faith for the entire rental period and turn other potential renters for that date away.  Since we rely upon income from each rental to enable Camp Blodgett to provide year-round programs for economically under-resourced kids in West Michigan, we must insist you honor your commitment.  Please make sure of your plans before signing your contract and sending in your deposit.
 
Is my deposit transferable?  
No.  For the same reasons given above, your deposit cannot be transferred to another timeframe.
 
What is the “security deposit”?   
The security deposit is the renter’s promise to pay for any unusual expenses incurred by Camp Blodgett during the event rental period.  Charges for cleaning that exceed the usual charges will be deducted before the deposit is returned. Unusual cleaning expenses include but are not limited to:  removal of decorations, kitchen cleaning not done by the caterer, repairs to the building attributed to the renter or renter’s guests, cleaning of the beach or other outdoor areas, delays caused by the renter that delay the start of the cleaning crew after the event. 
 
When will the “security deposit” be refunded? 
The security deposit return will be authorized within 3 days of the event, and reimbursement will be sent out within a week after the authorization.
 
When is payment-in-full due? 
Payment-in-full must be received by the date defined in the rental agreement.  That date is usually 30 days prior to the event.
 
Is smoking allowed? 
The Retreat Center is a SMOKE FREE facility.  Ottawa County’s ordinance also prohibits smoking on the deck or within 25 feet of the Retreat Center or any other structure on the property.  Smoking on the property away from the building is permitted.  Responsible disposal of cigarette butts etc. is required by Camp Blodgett. The removal/cleanup of butts by staff may incur a reduction in your security deposit.
 
Is alcohol allowed? 
Yes. Renters may serve alcohol during their event at Camp Blodgett.  However, an additional alcohol liability insurance policy is required in addition to regular liability insurance.  If your caterer has a liquor license and serves the alcohol, they will usually also provide the liquor liability coverage.  Camp Blodgett requires responsible consumption of alcohol and expects the renter to monitor guest behavior.
 
Where can I secure Liability Insurance for my event?  
Liability insurance is required for your event and is sometimes available through the renter’s homeowner policy at no charge or for a reduced fee.  There are “event” insurers that offer a wider variety of insurance options, including liquor liability coverage. One couple options can be found at www.wedsafe.com or www.eventhelper.com (Camp Blodgett does not specifically endorse either of these providers.)
 
Can we stop by for a tour? 
Due to our busy Camp and Rental schedule, Camp Blodgett requires that you SCHEDULE AN APPOINTMENT with one of our staff members to tour our space. We do so to provide you with the appropriate rental information and to maintain safety to our camp program and privacy to our existing rentals. Appointments are REQUIRED to ensure that someone will be available to provide admittance, give you a short tour, and answer questions. Fill out our contact form to inquire further. A tour is NOT required to book a rental. 
 
What is Camp Blodgett’s table inventory? 
Included in your rental is the use of the tables found in Camp Blodgett’s Retreat Center.  The number and size of the tables is listed below.
60” diameter round tables  - 20 each      
30” w x 72” rectangular tables - 20 each 

Is A/V equipment included?
The dining hall is equipped with a mounted television with an HDMI hook up. Beyond that there is no other A/V equipment available, and it will need to be provided by the renter. 

What is the plan if it rains or the weather is bad?
The weather can be unpredictable any time of year in West Michigan. Renting a tent for the deck is a helpful way to provide yourself with coverage from rain/wind/sun. Another option is to bring the event inside the dining hall. For events with at or near capacity guest counts when bringing your ceremony or dance floor inside, it may require movement/removal of tables and chairs. The setup and movement of tables and chairs is the renter's responsibility.

Will anyone else be on site during a rental?
Yes, a Camp Blodgett representative will be on site for the duration of your rental. Their primary role is to assist you in navigating the property, answering questions and assisting with facility emergencies. If your rental includes overnight accommodations, they will stay in the Health Office located on the lower level of the retreat center. Our Site Manager will also be on site. They live with their family in the residence next to the main parking lot. During camp season (2nd week of June - 1st week of August) seasonal camp staff may be staying in the cabins furthest from the retreat center and will NOT have access to the spaces being rented.

Is there ample parking for 150 people?
Yes, our main lot has 44 parking spaces available. Additionally, we can create overflow parking if needed. The rental host can assist with directing traffic as guests arrive if overflow parking becomes a need.

Are we able to host a rehearsal dinner?
Yes, you may host a rehearsal dinner by renting the space for the desired day. Keep in mind that rentals on Friday, Saturday and Sunday are subject to our Special Events pricing and include access for the full day. We do not provide partial rentals on these days. A great option if you wish to host a rehearsal dinner is to rent the weekend package. With this package your access will begin at 3:30pm on Friday through noon on Sunday. Due to liability, no access to the venue for setup or to store items is available outside of the contracted rental period. 

What are Camp Blodgett's Rules & Policies?
You can find our rules and policies here. Each rental requires a signed copy of this document. All guests are expected to follow these rules, and it is the renter's responsibility to ensure they do so.
